This policy explains how AgentSmart handles personal information when you visit agentsm.art or send a project enquiry.
1. Who is responsible for your information
AGSMART LTD, trading as AgentSmart, is the controller of the personal information described in this policy. We are registered in England and Wales under company number 16721167.
Our registered office is 71-75 Shelton Street, Covent Garden, London, United Kingdom, WC2H 9JQ.

2. Information we collect
Our contact form collects your email address, phone number, selected services and any project message you choose to provide. We also record the submission time and your confirmation that you agree to be contacted about your request.
Website delivery and security services process technical information, such as your IP address, browser and device information, and request information. Cloudflare Turnstile processes security signals to distinguish visitors from automated traffic.
Please do not include passwords, payment details, identity documents, health information or other sensitive information in your project message.
3. Why we use your information
We use enquiry information to answer your request, discuss your project, prepare a proposal and follow up on that enquiry. We do not use a project enquiry as permission to add you to a marketing mailing list.
When you ask us about a service for yourself, we process information to take steps at your request before entering into a contract. For business enquiries made on behalf of an organisation, we rely on our legitimate interest in responding to relevant business communications.
We rely on our legitimate interests in operating a reliable website and preventing spam and abuse for website security. We may retain specific records to meet legal obligations or establish, exercise or defend legal claims.
Your email address, phone number and service selection are required to submit the form. Your project message is optional. You can ask us to stop following up on your enquiry at any time.
4. Cloudflare hosting and security
Cloudflare provides our website hosting, form processing, enquiry database and Turnstile security verification. Our enquiry database is configured for storage within the European Union. Other Cloudflare services operate on a global network.
Cloudflare processes technical security signals under its Turnstile Privacy Addendum. Information about its wider services is available in the Cloudflare Privacy Policy.
5. Fonts, security technologies and external links
We load website fonts through Google Fonts. Your browser connects to Google to request these files. Google receives technical request information, including your IP address and browser information. See the Google Privacy Policy.
Our hosting and security providers may use technologies needed to deliver the website and check for abuse. Their privacy notices explain these technologies. External links lead to websites that have their own privacy policies.
6. Access to information and international processing
Access to enquiries is limited to people authorised to handle them for AgentSmart. We share information with the service providers described above and, where necessary, professional advisers or authorities for a legal requirement or claim. We do not sell enquiry information.
Cloudflare and Google may process information outside your country, including outside the United Kingdom and the European Economic Area. Their privacy notices describe their processing locations and transfer arrangements. Cloudflare also publishes a Data Processing Addendum.

7. How long we keep information
We retain enquiry records while we need them to handle your request and related follow-up. We determine the retention period by whether your enquiry remains active, whether it leads to a client relationship and whether a legal obligation or claim requires us to keep particular records.
When enquiry information is no longer needed for these purposes, we delete it from our enquiry database. Deletion is managed manually. The website does not currently delete enquiries automatically after a fixed period.
Records needed for a client agreement or legal obligation may be kept separately for that purpose. Service providers manage their own technical records and backups under their applicable policies.
8. Your rights and how to contact us
Depending on the law that applies and the circumstances, you may request access to your information, correction, deletion, restriction of processing or a portable copy. You may also object to processing based on legitimate interests. If we rely on consent for a particular use, you may withdraw that consent without affecting earlier lawful processing.
Email hello@agentsm.art to make a request. We may need proportionate information to verify your identity before responding. We normally respond within one month. If the law permits an extension, we will explain it.
You can complain to the UK Information Commissioner’s Office or the data protection authority in your country. You do not need to contact us before making a complaint.
We do not use contact enquiries to make automated decisions that produce legal or similarly significant effects about you.
9. Changes to this policy
We will update this policy when our information practices change. The date above identifies the latest version.
